POSITION OVERVIEW: The Event and Tasting Room Manager is responsible for marketing, scheduling, planning and managing the private events occurring within the Engine House Building and the operations of the Engine House Winery Tasting Room. This position also provides support for the day-to-day operations of Engine House Winery, including administrative and business development tasks.

This position reports to the Owner of the Engine House 25 Winery and oversees staff and volunteers for events and Tasting Room. This is a full-time position. Evening and weekend hours are required. Work schedule will fluctuate based on activities.

Event Strategy and Planning and Promotion:

  • Work with the Owner of the Engine House 25 Winery and the Director of the Clemente Museum to develop and adhere to an events strategy and policies to be beneficial to all organizations. Determine the optimum number and type of events as well as optimum rental/pricing strategy to meet the financial and public relations goals of all organizations within the Engine House 25 building.

  • Serve as the primary contact with clients to plan and coordinate details of events in the Engine House Building for both the Winery and the adjacent Clemente Museum (such as charity events, business meeting conferences, weddings, birthdays, anniversaries).

  • Be the primary liaison and provide consistent communications between clients and Owner of Engine House and the Director of Clemente Museum and other building staff. Provide clients with final decisions about events.

  • As appropriate before event: Provide guidance and oversight of preferred caterers, rental companies, valets and other vendors; Give final approval for items such as music and menus; Hire security; Plan menus and hire chefs or caterers if needed for internal winery or museum events.

  • Negotiate fees, calculate budgets and adjust when necessary. Prepare venue package and contracts. Follow up and insure final payments and deposits are made.

  • Maintain venue schedule in coordination with the winery, Roberto Clemente Museum and Rieder Photography

  • Expand and regularly update an Events website, and utilize website, social media and targeted marketing to promote events.

  • Develop relationships with potential event partners and community organizations.

Event Management:

  • Be present for all events (unless directed otherwise) and ensure day of event goes smoothly.

  • Set up and clean up events to ensure careful diligence to and protection of the Museum and Winery collections and facility.

  • Ensure deadlines and budgets are adhered to.

  • Provide timely follow-up to all clients and vendors before, during and after their events, including thank you notes, invoices, payments and receipts.

  • Analyze each event’s performance and prepare a brief written event report; maintain a database of best practices and lessons learned

  • Consult with Roberto Clemente Museum Director to Manage all events for the Roberto Clemente Museum, including Annual Fundraiser, special Clemente Society events, Sponsorship events and other events as needed.

  • Manage and prepare for special private celebrity/VIP events.

    Staff Management:

  • Hire, train, and educate Event and Tasting Room bartenders and wait staff on proper procedures.

  • Schedule and manage staff (paid and volunteer) for Events and Tasting Room.

  • Authorize time sheets and submit payroll for Event and Tasting Room staff.

  • When necessary, prepare invitations and send out at appropriate time.

    Operations Management and Support:

  • Check and reply to email and phone calls daily.

  • Create promotions and make sure posts are on social media in a timely manner.

  • Check accuracy of the website and update as needed.

  • Assure adequate Winery and Tasting Room stock of all supplies including wine, cheeses, paper products.

  • Assure cleanliness of all facilities.

  • Assist with wine-making, bottling, labeling as needed.

  • Track wine usage and generate sales reports using Square.

  • Regularly reconcile Square and Quickbooks accounts.

  • Maintain clear and consistent communications with all staff.

  • Meet regularly with Engine House Owner, Clemente Museum Director and other staff


  • Strong event management, project management and organizations skills and high attention to detail.

  • Excellent oral and written communication skill, including strong writing
    skills for client and supplier correspondence and preparation of event contracts.

  • Marketing experience and knowledge.

  • Demonstrated ability to liaise with and manage clients in a consultant role; high customer service ethic

  • Leadership and management skills

  • Interest in and knowledge of the broad events and PR industry

  • Knowledge about wines and wine-making ideal.

  • Forward-thinking with the ability to think creatively and logically and evaluate situations, whether they be opportunities or problems

  • Professional approach and appearance in relations with clients, vendors and guests.

  • Intermediate or above level with Microsoft Office Programs and other appropriate software as well as Social Media (including Facebook, Twitter, Linked In, etc.)

  • Collaborative, positive, team-oriented attitude

  • High level of energy and drive to get involved and succeed

  • Willingness to learn, adapt and develop

  • Able to work days, evenings and weekends as needed; and flexible to work additional hours during peak season

  • Bachelor’s Degree


    Lift objects up to 40 pounds and carry for short distances. Ability to stand for 4 – 6 hours.
    Perform set up and tear down of tables, chairs and equipment. Perform housekeeping maintenance.
