ROBERTO CLEMENTE MUSEUM

FULFILLMENT/SOCIETY MANAGER

POSITION OVERVIEW: The Fulfillment/Society Manager is responsible for the overseeing of Clemente Society Members, wine usage, and inventory as well as merchandise fulfillment, stocking, display, sales, and inventory.  This position also provides support for the day-to-day operations of the Clemente Museum.

This position reports to the Assistant Director and the Executive Director and Curator of the Clemente Museum. Work schedule will fluctuate based on activities.


PRIMARY DUTIES AND RESPONSIBILITIES:

  • Maintain list of members of the Clemente Society wine usage and inventory.

  • Serve as primary contact with customers of the museum store and provide consistent communication with the building staff.

  • Manage and coordinate merchandise shipments, pick-ups, and donations.

  • Stock and maintain the museum store and merchandise.

  • Ensure careful diligence and protection of the museum and winery collections and facility.

  • Assist with cleaning and tidying of the facility.

  • Assist with phone calls and emails as necessary.

  • Assist with collecting and documenting tour and sales statistics.

  • Analyze store performance and discuss with staff best practices and lessons learned.

  • Meet regularly with Clemente Museum Assistant Director and other staff.

  • Assist in planning events and maintaining schedule.


NECESSARY SKILLS AND EXPERTISE

  • Ability to supervise and manage staff members.

  • Strong verbal communication skills and organizational skills.

  • Intermediate or above level with Microsoft Office programs and other appropriate software as well as social media.

  • Capable of carrying objects 45lbs. or lighter.

  • Able to work days, evenings, and weekends as needed. Flexible to work   additional hours during peak season

COMPENSATION

The wage for the position of  Society and Fulfillment Manager is competitive based on experience and qualifications. This position may evolve into a full-time position.

Can be combined with the open position at Engine House 25 Wines to become full-time.

ENGINE HOUSE 25 WINES

WINERY MANAGER

POSITION OVERVIEW: The Winery Manager is responsible for scheduling, planning, and managing certain private events occurring within the Engine House Building and Operations of the Winery. This position also provides support for the day-to-day operations of Engine House Winery, including administrative, fulfillment, and wine making tasks.

This position reports to the Owner of the Engine House 25 Winery and oversees staff and volunteers for the winery and events. This is a part-time position. Evening and weekend hours are required. Work schedule will fluctuate based on activities.


PRIMARY DUTIES AND RESPONSIBILITIES:

  • Work with the Owner of the Engine House 25 Winery and the Assistant Director of the Clemente Museum to provide event support and handle Tours and Tastings. 

  • Serve as the primary contact with clients to plan and coordinate details of certain events in the Engine House Building for both the Winery and the Clemente Museum. 

  • Be the primary liaison and provide consistent communications between clients and Owner of Engine House Wines and the Assistant Director of Clemente Museum and other building staff. Provide clients with final decisions about events.

  • As appropriate before an event: Provide guidance and oversight of preferred caterers, rental companies, and other vendors. Assist with hiring chefs or caterers if needed for internal winery or museum events.

  • Prepare venue package and contracts. Follow up and ensure final payments and deposits are made.

  • Maintain venue schedule in coordination with the winery, Roberto Clemente Museum, and Rieder Photography.

  • Coordinate with Marketing Manager to update the event/winery website, and utilize website, social media to help promote the Winery. 

  • Develop relationships with potential event partners and community organizations.

  • Be present for events and ensure the day of event goes smoothly.

  • Set up and clean up events to ensure careful diligence to and protection of the Museum and Winery collections and facility.

  • Ensure deadlines and budgets are adhered to as well as end times for Tours Tastings and Events 

  • RAMP certification is required and will be covered by Engine House 25 Wines.

  • Provide timely follow-up to all clients and vendors before, during and after their events, including invoices, payments and receipts.

  • Analyze each event’s performance and discuss with staff best practices and lessons learned.

  • Make sure bartenders and wait staff are using proper building/event procedures.

  • Check and reply to email and phone calls daily.

  • Fulfill wine orders.

  • Assure adequate Winery stock of all supplies including wine, paper products.

  • Order cheeseboards for tastings.

  • Assure cleanliness of all facilities.

  • Assist with wine-making, bottling, labeling as needed.

  • Track wine usage using google docs and generate sales reports using Square. Generate reports monthly

  • Send estimates and invoices and ensure payment is made before event.

  • Maintain clear and consistent communications with all staff.

  • Meet regularly with Engine House Owner, Clemente Museum Director and other staff


NECESSARY SKILLS AND EXPERTISE

  • Strong event management and organization skills and high attention to detail.

  • Excellent oral and written communication skills.

  • Demonstrated ability to liaise with and manage clients in a consultant role; high customer service ethic

  • Solid Leadership and management skills

  • Knowledge about wines and wine-making ideal.

  • Forward-thinking with the ability to think creatively and logically when evaluating situations, whether they be opportunities or problems

  • Professional approach and appearance in relations with clients, vendors and guests and staff. 

  • Intermediate or above level with Microsoft Office Programs and other appropriate software as well as Social Media platforms.

PHYSICAL REQUIREMENTS

  • Lift objects up to 40 pounds and carry for short distances.

  • Ability to stand for 4 – 6 hours.

  • Perform set up and tear down of tables, chairs and equipment.

  • Perform housekeeping maintenance.


COMPENSATION

The wage for the position of Event Manager is competitive based on experience and qualifications.  This position may evolve into a full-time position with commission.
